How To enter multiple lines (new line) in the same Excel cell or Google Sheets

 To enter multiple lines (new line) in the same Excel cell:

✅ While typing in a cell

  1. Double-click the cell (or press F2)

  2. Type your first line

  3. Press:

    • Windows: ALT + ENTER

    • Mac: CTRL + OPTION + RETURN

  4. Continue typing on the next line

  5. Press Enter to save


✅ If text doesn’t wrap properly

  • Select the cell

  • Go to Home → Wrap Text


✅ Using a formula (line break via formula)

You can insert a line break using:

=A1 & CHAR(10) & B1

👉 After this, enable Wrap Text for that cell.


✅ Pasting text with line breaks

If you paste text containing line breaks, Excel will keep them as long as Wrap Text is ON.



Here are the most commonly needed options, explained clearly.


1️⃣ Add NEW LINE in multiple cells at once

If you want to insert a line break in many cells:

Method A: Find & Replace

  1. Select the required cells
  2. Press Ctrl + H
  3. In Find what → press Ctrl + J (cursor will move, it’s normal)
  4. In Replace with → press Alt + Enter
  5. Click Replace All
  6. Turn ON Wrap Text


2️⃣ Remove line breaks from cells (merge into one line)

Useful when copying data from Word / Email.

Replace line break with space:

  1. Select cells
  2. Press Ctrl + H
  3. Find what: press Ctrl + J
  4. Replace with: press Space
  5. Click Replace All


3️⃣ Add line break automatically using formula

Example:

=A1 & CHAR(10) & "Remarks: " & B1

👉 Then enable Wrap Text

Common uses:

  1. Address formatting
  2. SLA remarks
  3. Multi-point notes in one cell


4️⃣ Fixed format example (like official notes)

Customer Name : ABC
OLT Name      : XYZ
Status        : Completed

Type each line using Alt + Enter inside the same cell.


5️⃣ Excel Online / Google Sheets

  • Excel Online: Alt + Enter

  • Google Sheets: Ctrl + Enter
